    If you want the open renewal period to use your changes to the renewal workflow or renewal/workflow term, you can use the Apply Workflow Changes command to update the open renewal periods for one or more records.

    To update open renewal periods:

    1. Use the navigation pane to open the tab for the type of record (e.g., license, contract, or equipment) you want to update.

    2. Use the filter blocks and the other filter controls provided by the grid to focus the list of records so that it contains those with the open renewal periods you want to update.

    3. Select the records with the renewal periods you want to update.

    4. Select the Renewals > Apply Workflow Changes command on the grid menu.

    5. When prompted for confirmation, select the changes you want to apply:

      • Renewal Workflow – Select this check box if you recently changed the renewal workflow assignments for the selected records and want their open renewal periods to reflect the new workflow.

        As indicated by the prompt, any steps that are still in the new workflow remain in the open period (along with their completion dates, if any). Only steps not in the new workflow are removed. License Pro also updates the deadlines for any incomplete steps.

      • Renewal/Workflow Term – Select this check box if you recently modified the Renewal/Workflow Term field for the selected records and want their open renewal periods to reflect the new term.

        As indicated by the prompt, License Pro will copy the Renewal/Workflow Term value from a record to its open renewal period. In addition, for license renewal periods, License Pro will recalculate the Next Due Date and Next Expiration Date fields based on the new term. (Those fields are available only for license renewals.)

    6. After making your selections, click Yes.
